Please read these terms carefully before using our website or booking travel services with TravelMate Tours. They outline your rights, responsibilities, and our policies.

1. Agreement to Terms
These Terms of Service ("Terms") govern your access to and use of the TravelMate Tours website, chat assistant, enquiry forms, and travel booking services (collectively, the "Services") operated by TravelMate Tours ("we," "us," or "our").
By accessing our website or engaging our Services, you agree to be bound by these Terms and our Privacy Policy. If you do not agree, you must not use our website or Services.
2. Use of Our Website
You agree to use our website and Services only for lawful purposes. You must not:
- Provide false, misleading, or incomplete information in enquiries or bookings.
- Attempt to gain unauthorized access to our systems or other users' data.
- Use automated tools to scrape content or overload our website infrastructure.
- Reproduce, distribute, or commercially exploit our content without written permission.
- Interfere with the proper functioning of our chat assistant or booking tools.
3. Bookings & Reservations
All tour packages, itineraries, and travel arrangements are subject to availability and confirmation by TravelMate Tours. A booking is considered confirmed only after you receive written confirmation from our team and any required deposit has been received.
You are responsible for ensuring that all traveler names, passport details, dates, and special requirements submitted at the time of booking are accurate. We are not liable for issues arising from incorrect information provided by you.
- Quotes and itineraries are valid for the period stated in your proposal unless otherwise noted.
- Group tours may require a minimum number of participants to operate.
- Custom itineraries may be revised before final confirmation based on supplier availability.
- Changes requested after confirmation may incur additional fees from airlines, hotels, or operators.
4. Pricing & Payments
All prices displayed on our website or provided in proposals are quoted in US dollars unless otherwise stated. Prices are subject to change until a booking is confirmed.
Unless otherwise agreed in writing, a 30% deposit is required to secure your reservation. The remaining balance is due 21 days before departure. Failure to pay on time may result in cancellation of your booking and forfeiture of deposits.
- Accepted payment methods include major credit cards, bank transfer, and UPI where available.
- Installment plans may be offered at our discretion and are subject to separate terms.
- Prices may exclude visas, travel insurance, personal expenses, optional excursions, and government taxes unless explicitly stated as included.
- Currency fluctuations, fuel surcharges, or supplier price changes may affect final costs for unconfirmed bookings.
5. Cancellations & Refunds
Our standard cancellation policy applies unless a package-specific policy is stated at booking:
- 30 or more days before departure: Full refund minus processing fees.
- 15 to 30 days before departure: 50% refund of total booking value.
- Within 15 days of departure: Non-refundable.
- No-shows and unused services are non-refundable.
We strongly recommend purchasing comprehensive travel insurance to cover unexpected cancellations, medical emergencies, and trip interruptions. Refund timelines depend on payment method and third-party supplier policies.
6. Changes & Modifications
Date changes, upgrades, or itinerary modifications may be possible with at least 14 days' notice before departure, subject to availability and supplier fees. TravelMate Tours will assist with change requests but cannot guarantee that all modifications can be accommodated.
If we must cancel a tour due to insufficient group size, operational reasons, or force majeure events, we will offer an alternative departure date, substitute package, or refund as appropriate under the circumstances.
7. Travel Documents & Visa
You are responsible for ensuring valid passports, visas, vaccinations, and other entry requirements for your destination. TravelMate Tours may offer visa assistance as a separate service but does not guarantee visa approval, which remains at the discretion of relevant authorities.
We are not liable for denied boarding, refused entry, or additional costs resulting from incomplete or invalid travel documentation.
8. Travel Insurance
Travel insurance is highly recommended for all bookings. Coverage may include trip cancellation, medical emergencies, lost baggage, and travel delays. TravelMate Tours can help arrange insurance options, but the policy terms are governed by the insurance provider.
9. Liability & Responsibilities
TravelMate Tours acts as an agent coordinating services provided by third parties including airlines, hotels, cruise lines, and local operators. We are not liable for acts, errors, omissions, or failures of these independent suppliers.
To the fullest extent permitted by law, TravelMate Tours shall not be liable for indirect, incidental, or consequential damages arising from your use of our Services or participation in any travel arrangement.
- You participate in tours and activities at your own risk where applicable.
- Adventure activities may require signed waivers and medical fitness declarations.
- We are not responsible for delays caused by weather, strikes, pandemics, or other events beyond our control.
10. Third-Party Services
Our website may contain links to third-party websites or services. We do not control and are not responsible for the content, privacy practices, or terms of those third parties. Your interactions with third-party providers are governed by their own terms and policies.
11. Intellectual Property
All content on the TravelMate Tours website — including text, images, logos, itineraries, and design elements — is owned by or licensed to TravelMate Tours and protected by applicable intellectual property laws. You may not copy, modify, or republish our content without prior written consent.
12. Governing Law
These Terms shall be governed by and construed in accordance with the laws of the jurisdiction in which TravelMate Tours is registered, without regard to conflict of law principles. Any disputes arising from these Terms or your use of our Services shall be subject to the exclusive jurisdiction of the competent courts in that jurisdiction.
13. Changes to These Terms
We may update these Terms from time to time. The revised version will be posted on this page with an updated effective date. Continued use of our website or Services after changes are posted constitutes acceptance of the updated Terms.
